Data Security
Effective Date: 15 March 2026
Choirhub is designed to provide choirs with a secure and reliable environment for managing member information, attendance, documents, communication, and administration.
We understand that choirs entrust Choirhub with important organisational data, and protecting that information is a core part of how the platform is operated.
1. Secure Access
Access to Choirhub requires authenticated login credentials.
Each choir controls internal access through role-based permissions, allowing choir administrators to determine which members may view or manage specific areas of the platform.
2. Role-Based Permissions
Choirhub uses structured permission controls so that access can be limited according to responsibility.
Examples include:
Administrators
Committee members
Music team members
General choir members
This allows sensitive administrative content to remain visible only to authorised users.
3. Data Separation Between Choirs
Each choir operates within its own protected environment.
Choir data is separated so that one choir cannot access another choir’s information.
4. Secure Hosting Infrastructure
Choirhub uses professionally managed cloud infrastructure designed for secure application hosting.
This includes:
encrypted data transmission
secure server environments
monitored platform services
5. Password Protection
User passwords are protected using secure authentication systems.
Choirhub does not store plain text passwords.
6. File Storage Protection
Uploaded files such as documents, rehearsal tracks, and resources are stored within secure platform-managed storage systems.
Access to files follows the same permission controls applied across the platform.
7. Backup and Operational Protection
Platform data is managed within secure hosted environments that include infrastructure-level redundancy and protection against common technical failures.
8. Limited Administrative Access
Platform-level administrative access is restricted and used only when necessary for system maintenance, support, or troubleshooting.
9. No Sale of Data
Choirhub does not sell choir data, member data, or uploaded organisational information.
10. Shared Responsibility
Security also depends on each choir using good internal practices, including:
assigning permissions carefully
removing access when committee roles change
using strong passwords
11. Incident Response
If a significant platform security issue is identified, reasonable steps will be taken to investigate and address it promptly.
